Job Description

We are seeking a highly organized and personable Front Desk Executive to join our team. The ideal candidate will be the first point of contact for our guests and clients, ensuring a positive experience from the moment they arrive. The Front Desk Executive will manage all front desk tasks efficiently, including answering phone calls, handling inquiries, and assisting with administrative duties. Exceptional communication skills, a friendly demeanour, and the ability to multitask effectively are essential for success in this role.

Roles and Responsibilities

  • Greet and Welcome Visitors: Warmly greet all visitors, clients, and employees as they arrive at the front desk. Provide a friendly and professional welcome, ensuring a positive experience for everyone.
  • Answer and Route Incoming Calls: Handle incoming calls promptly and professionally, providing appropriate information or directing calls to the appropriate personnel or department.
  • Manage Reception Area: Maintain a clean, organized, and presentable reception area, creating a welcoming atmosphere for visitors. Keep the reception desk and surrounding area tidy and well-stocked with necessary supplies.
  • Inquiry Handling: Address inquiries from visitors, clients, and employees promptly and efficiently. Provide information about the company, services, and products in a clear and concise manner.
  • Appointment Scheduling: Coordinate and schedule appointments for clients and employees. Maintain an organized calendar and efficiently manage time slots.
  • Visitor Log and Security: Log visitor information accurately and ensure compliance with security protocols. Issue visitor badges and maintain appropriate access control measures.
  • Mail and Package Handling: Receive, sort, and distribute incoming mail, packages, and deliveries to the appropriate recipients. Prepare outgoing mail and packages as needed.
  • Assist with Administrative Tasks: Support various administrative tasks, including data entry, filing, and maintaining records as required.
  • Maintain Knowledge of Company Policies: Stay informed about the company's policies, procedures, and services to provide accurate information to visitors and employees.
  • Assist with Event Coordination: Collaborate with the events team to organize and coordinate meetings, conferences, and special events held at the premises.
  • Problem Resolution: Handle complaints and resolve problems effectively and courteously. Escalate issues to the appropriate personnel when necessary.
  • Collaboration: Liaise with other departments to ensure smooth communication and coordination within the organization.

Job Requirement:

  • Graduate with any degree: additional qualifications in customer service or administration will be an advantage.
  • Proven experience as a front desk executive or in a similar customer-facing role.
  • Strong communication and interpersonal skills with a welcoming and friendly attitude.
  • Excellent telephone etiquette and active listening skills.
  • Proficiency in using office software and basic computer knowledge.
  • Exceptional organizational and multitasking abilities.
  • Ability to handle stressful situations and maintain composure under pressure.
  • Strong problem-solving skills with a customer-oriented approach.
  • Professional appearance and behaviour.
  • Familiarity with security procedures and protocols is a plus.
